Global entrepreneurial and investment firm (family office) located in Meatpacking District, Manhattan, is looking for a highly organized and resourceful Administrative Assistant to join the team in New York City. This role plays a dual function-managing the day-to-day operations of our NYC office and providing executive support to three senior principals on our investment and operating teams. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced, dynamic environment. This position requires 5 days/week on site form 9-5/6pm with reachability after hours as needed (mostly in the case of travel emergencies). Key Responsibilities:

Office Management:

Maintain a well-stocked, clean, and organized office environment.Greet guests and ensure a welcoming, professional front-of-house experience.Manage conference room scheduling and coordination for internal and external meetings.Serve as liaison with building management and vendors for office needs and maintenance.Handle incoming/outgoing mail and deliveries.

Executive Support:

Provide calendar management for three senior principals, including scheduling across multiple time zones.Book and coordinate complex domestic and international travel, including flights, accommodations, ground transportation, and itineraries.Prepare and reconcile expense reports.Help facilitate communication and coordination across teams and external partners.

Qualifications:

3+ years of experience in an administrative or executive support role. Prior experience managing office operations preferred.Strong organizational and time-management skills with keen attention to detail.Excellent communication and interpersonal skills.Proficiency with Microsoft Office, and calendar management tools.Working knowledge of AI tools and a willingness to learn how to optimize productivity with AI.Discretion and professionalism when handling confidential information.Undergraduate degree preferred A1414296NY-Temp_1744392085 To Apply for this Job Click Here
