Administrative Assistant

This is a hybrid position. The Administrative Assistant is seated in our Garden City, NY location, 3 days a week and reports to the Chief of Staff

Pay: $50,000-$60,000 per year, commensurate with experience 

Specific Responsibilities:

Organize, plan, and coordinate administrative processes for the administrative office and other departments. Maintain and update organizational charts. Schedule appointments and maintain ever-changing Outlook calendars. Provide administrative support to the C- suite and staff including but not limited to: taking minutes/notes at meetings, copying, greeter for in-kind donations, ordering supplies, assisting in the preparation of media packets and materials for meetings/presentations and importantly, interfacing with the Executive Office on behalf of each department. Prepare and research information, provide analysis and develop reports used both internally and externally for meetings. Develop, organize, and maintain files with accuracy. Prepare and maintain correspondence (internal and external) that are both time sensitive and confidential. Prepare for ongoing meetings by scheduling, preparing agenda’s dissemination of electronic and hard copy materials, etc. Process invoices, fund requests, monthly department credit card statements, and monthly expense reports. Facilitate the preparation and tracking of confidential budget reports; and as needed review with designated Department leadership to address budget discrepancies. Collect, prepare, and process time sheets. Strong knowledge of administrative practices and procedures. Review documents for accuracy, format, and compliance with agency policies and procedures. Take initiative in troubleshooting and completing tasks. Act as a liaison with internal and external agents of the agency. Coordinate and support events and opportunities to interface with government officials, influential colleagues, donors, foundations, and other external and internal stakeholders to position SCO as a leader in service delivery to families, youth children and individuals with special needs. Maintain professional, respectful, and sensitive communication within the work environment, among departments and programs, with the SCO Board of Directors and staff leadership, foundations, and external entities. Perform other duties as assigned.

QUALIFICATIONS: Administrative support and a minimum of 3-5 years of office management experience working with senior level administrators.  

SPECIAL SKILLS: Excellent organizational, written, and verbal communication skills. Detail orientated with strong interpersonal skills. Ability to multi-task and work independently in addition to working in collaboration with a wide range of constituents. Demonstrate flexibility and use of time. Strong computer skills including but not limited to proficiency in Word Processing and Excel. Must thrive in a dynamic, ever-changing environment.

SCOPE OF RESPONSIBILITY

Position requires professionalism and flexibility while providing support on various levels. Extensive interaction with SCO administrative and program executives, program staff and staff in SCO support functions and external constituencies.

Travel Required

Some travel is required to various programs for meeting/events.
