Position SummaryThe ideal candidate will be experienced in handling a wide range of support-related tasks and will be able to work independently with little or no supervision. This person must be detail-oriented, be exceedingly well organized, and have excellent interpersonal skills. Also, needs the flexibility that comes with handling personal assistant responsibilities. The successful candidate must have the ability to interact with a wide range of people from office staff to executives in a dynamic environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient. A high level of professionalism, confidentiality, and judgment is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability, and attention to detail are equally important. This position will report to and support VP leaders. This position is located in downtown Houston, TX. Hybrid work schedule is an option for remote work on Mondays and Fridays. Level and salary commensurate with experience.Essential Job FunctionsManage heavy calendar movement, requiring interaction with both internal and external executives and assistants to coordinate a variety of meetingsPrioritize and manage multiple projects concurrently from multiple executives; clarify needs regularlyCoordinate, manage and communicate complex travel schedules and reservations simultaneously for various executives and staffProvide support to additional assistants and staffPlan, organize and facilitate large meetings and events for multiple teamsCreate and submit monthly expense reports prior to deadline for numerous executivesReconcile monthly Pcard expenses prior to deadlineMonitor, review and submit expense reports for accuracy and detail prior to executive approvalMaintain budget spreadsheet and track invoicesThis job description is not intended to be an all-inclusive list of duties and responsibilities of the position Incumbents will be required to follow any other job-related instructions and duties outside of their normal responsibilities as assigned by their supervisor. Minimum QualificationsHigh school diploma or GED7 years of experience as an administrative assistant supporting VP levelExcellent calendar management skills for multiple executivesProofreading and editing skillsEfficient communication and interpersonal skills are criticalExperience assisting management with the creation of PowerPoint presentationsStrong knowledge of MS Office, including word, Excel, PowerPoint and OutlookAbility to work in a fast-paced and fluid environment; flexible with the demands of a growing companyAbility to meet deadlinesPhysical Requirements and Working Conditions: Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail despite interruptions, strength to lift and carry files weighing up to 10 pounds; vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephoneThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
