Job Title: Administrative Assistant Department: Physician Care, PC

Reports to: Practice Manager Revision Date: 8/8/2023

Grade Level: 13 Status: Non-exempt

 

Job Summary:

Primary responsibility is to provide support for Physician Care, PC to include clerical priorities, data mining/reports meetings, support staff and provider schedule and coordination of various projects at the Medical practice.

 

Duties/Responsibilities:

Maintain discretion with sensitive, confidential information concerning Physicians, employees and patient related material, as well as information contained in minutes, letters, and other documents. Assist the Practice Manager with various projects or work by assisting with data collection, reports, communication follow-up, organizing and maintaining files as well as coordinating various paperwork associated with each project. Use computer programs ( Meditech and MPM) for data mining for projects such as Quality reporting, Meaningful Use, PQRS, and productivity and patient flow. Track and report time off requests, missed punches, benefit time, and CME. Follow Physician Care, P.C. Purchasing process policy; order and maintain inventory of office and medical supplies including immunizations. Compose correspondence, memos, reports, and minutes, spread sheets as required. Confidentially communicate with in-house staff and outside vendors and consultants on Physician Care, PC related information. Assist in maintenance and review of Physician Care, PC policy and procedure files particularly primary care policies Assist with new projects outside of the division as assigned by participating, coordination of activities, and correspondence and minutes. Receive and screen telephone calls and personal callers, providing information with discretion and courtesy, answering inquiries or re-directing as necessary. Attend meetings as required and participate on committees as directed. Enhance professional growth and development through inservice and educational programs. Demonstrate supportive and understanding communication and behavior when in contact with guest, (patients, visitors, clients, physicians, employees, volunteers, etc.), always displaying positive guest relations. Perform other duties as directed by supervisor.

Required Skills/Abilities (Unit Specific):

Word processing, typing, verbal and written communication, spreadsheet and data base development skills.

Education and Experience:

Associate degree in secretarial science or the equivalent education/experience preferred. Sufficient previous office experience required. Health care experience preferred.

Working Conditions:

Generally pleasant; fast paced office environment. Limited travel may be required.

 

Pay Range: $16.48-$18.13/hr

Employee salary is based on commensurate experience and other qualifications.
