Use discretion and independent judgment in conceptualizing, planning, and directing activities related to office management and academic support, including recruiting, public relations, communication, and community engagement. Serve as the unit’s primary contact for questions and inquiries from campus and the community. Supports the College’s mission by maintaining a standard of excellence for the unit, consistent with university policies, procedures, and best practices. Minimum Qualifications Bachelor’s degree and a minimum of two years of related experience. Demonstrated experience with event planning, project management, ability to multi-task, and great attention to detail. Strong communication skills, both verbal and written. Proficiency in MS Office required. Preferred Qualifications Experiences with Banner9, PeopleAdmin, WingsExpress, budget management, working with a diverse population, working in a higher education institution, and working with community engagement are preferred. Essential Functions and percent of time: Communication and public relations: (30%) Responsible for developing and implementing all communications with constituents and stakeholders, providing leadership and coordination across the unit, and serving as a liaison with senior-level academic and non-academic persons and organization, internally and externally. Assist communication with recruiting and marketing, such as proofreading draft emails and ads. Draft and revise written communications and documents on behalf of the Dean. Design and manage newsletters. Responsible for the creation of annual reports to internal and extremal stakeholders under guidance of the Dean. Support the Dean with communication and activities related to advancement and community engagement. Support the Associate Director with social media engagement for graduate and honors students and make recommendations for communication strategies that are aligned with the unit’s strategic plan and goals. Assist with creating, distributing, and analyzing surveys. Serve as the unit’s primary contact for questions and inquiries from campus and the community. Use discretion and independent judgment in responding to inquiries and concerns regarding understanding and interpreting university and college policies.

Project, event, and committee coordination: (30%) Organize and manage special projects, events, and tasks for the unit. Support tasks and operations needed for faculty senate committees, such as providing collaborative direction to the advisory boards and special committees or assisting with committee processes Assist and coordinate team activities in the unit, such as professional development and teambuilding exercises, planning the annual college-wide retreat, and staff outings. Manage and organize all aspects of the calendar, meetings, conferences, travel, and correspondence for the unit. Assist with scheduling meetings with external partners, such as higher education agencies and consortiums (e.g. ODHE, MAGS, CCGS, and CGS). Manage daily operations: (30%) Provide high-level administrative and office support to the functions of the unit. Independently analyzes, develops, directs, and maintains effective administrative office procedures for the unit’s operation. Identify and suggest processes for improving workflow for the unit. Process office expenditures and purchases. Manage and correspond with Chromeriver and other systems needed. Provide cross-coverage for open administrative support staff positions due to vacancies, leaves of absence, or other reasons. Investigate, resolve, redirect problems/concerns that come before the dean. Other duties (10%) Support the fiscal services manager in all hiring searches, prepare admin job postings, schedule interviews, and prepare offer letters. Work with the fiscal services manager to coordinate onboarding activities for new employees. Performs other duties as assigned and necessary.
