Budget Manager, O’More College of Architecture and Design

The Budget Manager for the O’More College of Architecture and Design (CAD) provides direct administrative support to the Dean and College leadership by overseeing the daily fiscal and physical operations of the college. The Budget Manager serves as the college budget officer and is responsible for the development and oversight of all the College’s fiscal accounts. The Budget Manager acts as the primary liaison for CAD with the university’s Office of Finance and Accounting to ensure compliance with budgetary provisions and policies. The Budget Manager provides operational, fiscal, and personnel guidance to college administrators, prepares sensitive reports, makes improvements in college processes and procedures, conducts training for college faculty and staff, and oversees the business operations work completed by college departments and programs.

Duties include, but are not limited to:

Work with the Dean, Associate Dean, and Chairs to develop and submit budget proposals for all academic programming within the College each fiscal year. Track spending of all College funds and provide Dean, Associate Dean, and Chairs with regular reports of current balances to encourage the efficient use of all allocated funds.Initiate requisitions, process invoices, and track payment for all College purchases. Prepare and process budget documents and transactions for the college, including budget adjustments and transfers, reimbursements for faculty and staff, and departmental deposits and work with the Purchasing Coordinator and/or Accounts Payable Coordinator as needed for any issues that may arise. Set up new vendors and serve as the primary point of contact for the College for all vendors to request quotes, confirm purchase orders, and arrange for delivery/receipt of shipments.Initiate purchases and reconcile reports each month submitting receipts to the Fund Accountant. Assist with all travel arrangements for faculty development, faculty recruitment, and guests to the college.Train or coordinate the training of college faculty/staff regarding budgetary and fiscal policies, procedures, and guidelines. Serve as the College liaison to the Development Office and Student Financial Services to assist with scholarship and restricted fund tracking and distribution, grant fund tracking and reporting, and donation invoicing and processing.Maintain equipment and key inventory and work with college faculty and staff as appropriate to support the procurement, maintenance, and supply ordering for all equipment.Maintain office and instructional supply inventory, coordinating with college faculty and staff as needed to ensure that supplies are in stock and available for use.Oversee software license agreements and subscriptions for the college, ensuring that renewals are scheduled to avoid interruption in serviceCollaborate with the department chairs to coordinate all equipment and facilities repairs and maintenanceIn collaboration with the Assistant to the Dean, serve as the College liaison to Event Services, Facilities Management Services, IT, Copy Center, Network Services, Telecommunications, and the Office of Risk Management to ensure effective daily operations.Support College programs by providing administrative assistance to the faculty and staff, providing general guidance to students, and participating in College activities, included but not limited to Faculty/Staff meetings and workshops, admissions events which may occur outside normal working hours, and external events hosted by the College, such as the Annual Fashion Show.
