Data Entry Operator Specialist II

Adeptus Solutions Inc is hiring a Data Entry Operator Specialist II to support the United States Coast Guard (USCG) Recruiting Command (CGRC). The Contractor shall provide Office Operations Support to the Recruiting Office with a focus on day-to-day recruiting operations and Administrative Support. The Contractor shall provide Office Performance Management support with a focus on tracking and reporting Recruiting Office Performance. The Contractor shall provide Information Technology Support to include utilizing different software. The Contractor shall provide a range of strategic and Tactical Communications Support. Listed below is a summary of Recruiting Office operations support functions includes but is not limited to:

1. Answering, directing, tracking, and reporting incoming phone calls.


2. Developing and maintaining the Recruiting Office schedule using Microsoft Outlook or the applicable enterprise solution.


3. Developing, updating, and maintaining the Recruiting Office Microsoft TEAMS site(s) under guidance of the Recruiting Command Guidance.


4. Drafting, organizing, and tracking routine correspondence IAW USCG policies.


5. Maintaining the Recruiting Office reference library.


6. Maintaining unit correspondence files.


7. Placing, tracking, and reporting status of purchase requests for recruiting office supplies.


8. Maintaining a file management system in compliance within federal, USCG, and unit policies under the guidance of the Recruiter in Charge (RIC).


9. Tracking and reporting office compliance with Government Property/Vehicle programs.


10. Tracking and executing office mailings.


11. Office space Liaison for building lease/maintenance.


12. Data entry and management of accession software solution (Gangway Software).


13. Tracking and reporting each applicant’s progress through recruiting and accession process.


14. Completing, routing, tracking, and reporting status of Local Marketing Support Forms and approvals.


15. Processing, tracking, and reporting status of Local Marketing Support Forms and approvals.


16. Processing, tracking, and reporting status of candidate’s background investigations.


17. Scheduling the Armed Services Vocational Aptitude Battery (ASVAB) testing and MEPS appointments.


18. Booking travel arrangements for candidates per policy.


19. Drafting, submitting, tracking, and reporting status of waiver packages.


20. Performs other duties as assigned.



REQUIRED SKILLS AND QUALIFICATIONS: Must have proper documentation indicating you are legally authorized to work in the U.S. Minimum requirements include having an Associate,s Degree with three (3) years of experience in clerical and administrative skills with exceptional organization skills.


The education requirement may be waived if the relevant experience is directly connected to Government experience. Must be able to function in a team environment.



Must be fluent and proficient in English. Fluency and proficiency in Spanish is preferred for individual(s) assigned to performance locations annotated with an asterisk (*). (This would be for the following listed location(s): (1) Aguadilla, PR (2) Miami, FL (3) San Juan, PR (4) Albuquerque, NM (5) El Paso, TX (6) Las Vegas, NV.



Must be capable of using Microsoft Office 365 Suite to include Microsoft Word, PowerPoint, Access, Excel, computer automated software, and Adobe Forms. Security Clearance/Background Check requirements: prior to appointment individuals must meet the security requirements for this position. Ability and skill in effective oral and written communication; ability to maintain effective working relationships internally and externally. Must have the ability to work under pressure of established deadlines. Work will be performed (On-Site).
