Job Description Summary

The purpose of this role is to coordinate client events/meetings and related utilization of the facility. The role is responsible for liaison between clients, the public and building management prior to and during events to ensure that facilities, equipment, physical setup and personnel provided meet the requirements of the event/meeting and the client's needs.

Job Description

Coordinates the work of building staff and contract personnel in support facility events and important meetings including scheduling, organization, preparation, setup, function, breakdown, clean-up and liaison with client, tenants (if applicable), and management

Advises and coordinates with clients, vendors, contracted services, and staff on setup options and types of materials needed to achieve desired results and may be responsible for the ordering food, beverages, materials, supplies, AV equipment, printed materials, etc. in accordance with the client’s needs
Calculates and provides clients all estimates of potential costs incurred in completing an event or meeting
In coordination with the client, helps to resolve problems or complaints from tenants, building staff or the public in accordance with established policies and procedures
May be asked by the client to input, retrieve, and update event setup information and produce event or meeting reports
Coordinates with the client on event and meeting requirements including table arrangements and number and nature of support personnel and equipment needed
Ensures that setup of chairs, tables, stages, decorations or other equipment is in accordance with the client’s requirements and in accordance with applicable safety, fire, health, and building codes.
Makes or arranges for last minute adjustments in room or equipment setup at the request of the client
May perform other support duties and functions as assigned such as administration, tenant services, clerical, printing/copying, reception, and answering phones
Requirements

A high school diploma or a General Equivalency Diploma (GED). College or university credits or degree in applicable discipline preferred

At least one year of experience in coordinating events and meetings at an office building/complex, convention center, theater, hotel, or any public use facility
Must be able to work independently, multi-task and to prioritize client requests
The candidate must be computer literate, including knowledge of word processing (Word), scheduling (Outlook), spreadsheets (Excel) and other data base applications
Must be proficient in communicating at all levels in both oral and written form and competent at preparing professional, comprehensive memorandums, letters, reports, documents, files, etc.
Must have a professional, pleasant, and positive demeanor and the ability to work well under pressure and given competing demands and priorities
Physical Requirements

While performing the duties of this job, the employee is regularly required to travel from floor to floor and may be required to travel outside between buildings in varying outdoor weather conditions
The employee may also be regularly required to sit or stand for prolonged periods of time
Regularly use hands to operate office machinery including, but not limited to, telephones, computers, fax, and photocopy machines
Regularly required to walk, talk, and hear

The company will not pay less than minimum wage for this role.
