Executive Assistant
Description We are looking for a detail-oriented and proactive Executive Assistant to support senior leadership within a dynamic financial services environment. This is a Contract position based in Chicago, Illinois, offering the opportunity to work closely with top executives while managing key administrative functions. The ideal candidate will excel at multitasking and thrive in a fast-paced setting. Responsibilities: • Coordinate and manage complex calendars, ensuring seamless scheduling of meetings and appointments. • Oversee travel arrangements, including booking flights, accommodations, and preparing detailed itineraries. • Manage expense reporting processes and ensure timely submission and accuracy. • Provide administrative support to senior executives, including drafting correspondence and handling confidential information. • Assist with organizing and preparing materials for meetings, presentations, and conferences. • Maintain and update records in systems such as Sage 300 and Procore. • Serve as the primary point of contact for communication between the executives and both internal and external stakeholders. • Support team operations by performing various general administrative tasks as needed. • Monitor and manage email communications, responding promptly and appropriately. • Ensure compliance with company policies and procedures in all administrative functions. Requirements • A minimum of 3 years of experience as an Executive Assistant or in a similar administrative role. • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. • Familiarity with Sage 300 and Procore software is highly desirable. • Exceptional organizational and time-management skills, with the ability to prioritize effectively. • Strong written and verbal communication skills, with attention to detail. • Proven ability to handle sensitive information with discretion and maintain confidentiality. • Experience managing multiple executives' schedules and coordinating complex logistics. • A detail-oriented demeanor and the ability to interact effectively with individuals at all levels.
