Executive Assistant

The Executive Assistant performs a variety of complex, highly responsible, analytical and administrative functions, in support of the regional strategic objectives, for one or more executive level leaders.

RESPONSIBILITIES:

Use independent judgement and discretion to gather and analyze data for the purpose of developing talking points and relevant competitive background for manager to review and form strategic execution. Develop and prepares related reports. Acts as a "gate-keeper" by managing the executive leadership’s calendars. This involves using independent discretion in identifying critical items, setting up meetings and making scheduling changes with minimal involvement by the executive leadership. Serve as recording secretary to internal and external meetings including the proper note taking of complex technical discussions, regulatory and legislative discussions. Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Prepare reports by collecting and analyzing information. Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents. Data entry for measurement tools for press impact, social interactions, sales and business opportunity meetings. Maintain collateral supplies inventory. Schedule and facilitate regular project status meetings, create meeting agenda, and distribute an updated status report for assigned projects. Provide historical reference by developing and utilizing filing and retrieval systems. Improve quality results by studying, evaluating, and re-designing processes; implementing changes. Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the region. Provide a wide variety of clerical and administrative support; resolve concerns and complaints in a timely and accurate manner; follow up with staff as necessary for detailed information to be included in response. Assist in the implementation and follow-up on joint decisions pertaining to executive presentations. Ensure materials and reports for signature are accurate and complete; proofreads and checks typed and other materials for accuracy, completeness and compliance with District standards, policies and procedures. Other duties as required or assigned.

 

MINIMUM QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Ability to work in a hybrid role and based in the Fort Lauderdale office with in-person office days as required by business needs Associates Degree preferred; minimum high school diploma or equivalent required Demonstrated ability of essential functions and a minimum of 3 years’ experience supporting executives Exceptional aptitude with business correspondence, telephone skills, computer expertise including research and data analysis Must be highly effective in two-way communication to include written, verbal and telephone skills Exceptional customer service skills Collaborative, resourceful with excellent problem-solving skills. Prior work experience in Telecommunications or other service provider company helpful but not required
