Overview EagleView is looking for an Executive Assistant to support members of the Executive team. The Executive Assistant will bring a blend of attention to detail, strong organization, and time management skills to handle schedules and meet critical business demands. Thriving in a dynamic work environment, the Executive Assistant will cultivate strong working relationships across the organization, fostering a culture of collaboration and excellence.  Responsibilities • The Executive Assistant will be responsible for supporting 3 Executives • Outlook calendar management; oversee complicated internal and external meetings and domestic/global travel schedules • Coordinate the booking of domestic and international travel including assisting with any Visa requirements • Lead and oversee multitude of projects in various degrees from start to finish • Attend and facilitate department meetings and events; setting up meeting spaces, Teams meetings/webinars/townhalls, office logistics, presentation materials, taking notes, and following up on action items • Organize, and implement administrative processes and systems to assure the smooth flow of office operations • Assist as a department and Rochester office specialist and go-to resource for general requests and questions • Oversee confidential and non-routine information, materials, and issues between departments • Assist with the preparation of presentation materials and support the department by executing presentations in larger settings • Conserve our Executive's time by reading, researching, and routing correspondence; drafting emails, letters, and documents; collecting and analyzing information; initiating telecommunications; and assisting with presentations • Coordinate logistics as required for offsite department meetings and arrange bulk travel deals • Culpable for event planning including catering coordination for smaller meetings and larger internal company-wide events • Assist departments with invoicing and processing of vendors and vendor payments. Assist and prepare expense reports per policy • Act as a role model and provide leadership and inspiration to employees working in or visiting the Rochester office • Other duties as assigned Qualifications • Bachelor’s degree in a related field or equivalent work experience • Minimum of 2 years’ experience as an Executive or Administrative Assistant • Advanced skills in Microsoft Suite Office including Word, Excel, PowerPoint, and Outlook • Outstanding organizational and time management skills • Robust verbal and written communications skills • Discretion and confidentiality Preferred Experience: • Microsoft Teams and Forms experience EEO Statement The compensation offered to the successful candidate will be based on a variety of factors, including but not limited to, the candidate’s work experience, education and licenses, work-related training, key skills, the core duties of the role and its associated responsibilities, additional benefits offered, and the location where the work will be performed. This is a full time hybrid position based out of Rochester, NY with a base compensation range of $24.00 to $34.61 per hour.
