Works independently to set priorities for duties delegated by Department Administrator. Supports the Department Chair, Regional Director, and Department Administrator to efficiently and effectively carry out activities to maintain a high performing department. **Duties & Responsibilities** · ADMINISTRATIVE SUPPORT: Answers and screens phone calls, takes messages, and appropriately directs callers. Attends meetings as requested and prepares necessary documents, transcribes and distributes meeting minutes. Maintains executives' calendar to include scheduling meetings, arranging appointments, and coordinating travel arrangements. Performs data entry and compiles data to prepare reports. · COMMUNICATION: Composes effective correspondences, announcements, training materials, and other written materials. · RECORD KEEPING, PROJECTS & EVENT PLANNING: Creates and maintains accurate filing system and records of departmental activities, projects, and physician files. Provides support to special projects to summarize and compile findings in written reports, spreadsheets, graphs or other appropriate format. Effectively utilizes a variety of resources to plan and execute both on-site and off-site event planning. · BUDGET, INVENTORIES & EQUIPMENT: Assists with preparation of check requisitions, purchase requisitions, and expense reports. Assists with tracking of professional development expenses. Orders office supplies and submits work orders for the maintenance of the department. · TRAINING/MENTORING/ADDITIONAL: Acts as a mentor and trainer to junior level support staff. Serves as back-up support to secretarial colleagues. Additional duties as delegated by Department Administrator. **Education/Experience Required** **Minimum Education:** Required: High School Diploma plus training acquired through work experience or education Preferred: Administrative or technical background acquired through completion of 2-3 years of college **Minimum Experience:** Required: 3-5 years of previous job-related experience Preferred: 6-10 years of previous job-related experience **Our Commitment to Diversity and Inclusion** Trinity Health is one of the largest not-for-profit, Catholic healthcare systems in the nation.
