POSITION TITLE: Graduate Program Administrative Coordinator

RESPONSIBILITIES AND DUTIES

Manage financial processes for education-related accounts, including invoicing, reimbursements, and transactions. Coordinate students, staff, and faculty for timely completion. Schedules students’ thesis committee meetings and defenses. Execute accurate maintenance of student records per OGS guidelines. Monitor forms for timely approvals and report irregularities to the Graduate Program Manager. Plan and execute education-related events, collaborating with various staff members such as the International Services Office, student groups and Career and Professional Development Office. Responsible for promoting events, providing on-site support, arranging logistics for speakers, courses, workshops and managing room reservations and layouts. Serves as primary contact for the Office of Graduate Studies, handling inquiries professionally via phone, email, and in-person interactions. Contribute to special projects and perform other assigned duties as needed.  

POSITION REQUIREMENTS

High school diploma or equivalent (GED); Bachelor’s degree preferred. Minimum of five years related experience as an administrative assistant, preferably in an education or non-profit environment. Demonstrated expertise using Microsoft Office (Teams, Word, Excel, Outlook, PowerPoint) and Adobe Acrobat skills, as well as the ability to learn new programs and applications. Strong organizational, multitasking, problem-solving, interpersonal, verbal and written communication skills. This is an on-campus position requiring 4 days per week working onsite from our Jupiter, Florida campus, with flexibility to work 1 day per week remotely from home. 

COMPENSATION

The expected hiring range for this position is $25.00 hourly to $32.00 hourly, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
