IT Assistant

We are seeking a skilled IT Assistant to join our team and provide support in deploying and managing mobile devices, deploying new computers, and handling IT related invoices. The ideal candidate will possess a strong technical aptitude, excellent organizational skills, proactive approach to problem-solving, and will be required to liaison with Internet Service Providers (ISPs) during service outages. This role requires proficiency in mobile device management tools, asset management, computer deployment procedures and processes, and a strong understanding of IT operations and administrative processes.

Key Responsibilities:

Mobile Device Management:

Oversee the procurement process for mobile devices. Configure, deploy, and manage mobile devices (smartphones, tablets, hotspots, etc.) across the organization. Implement security policies, applications, and updates on mobile devices to ensure data protection and efficient use of resources. Troubleshoot mobile device issues, including connectivity problems, software glitches, and hardware malfunctions. Provide user training and support on mobile device usage and best practices.

Computer Imaging and Deployment:

Perform computer imaging tasks Install and configure operating systems, applications, and drivers on computers as needed. Conduct quality assurance checks post-reimaging to ensure systems are functioning correctly. Maintain agency electronic inventory of all endpoints and electronic assets

Invoice Handling:

Collaborate with vendors and internal stakeholders to process invoices related to IT equipment and services. Verify invoice accuracy, resolve discrepancies, and ensure timely payment processing. Maintain organized records of invoices, contracts, and related documentation for auditing purposes. Assist with budget tracking and expense reporting for IT-related expenditures.

ISP Coordination:

Act as the primary point of contact for ISPs. Coordinate and communicate during service outages, troubleshoot connectivity issues, and ensure timely restoration of services. Maintain logs of service interruptions and resolutions.

Administrative Support:

Provide comprehensive administrative support to the IT department. Maintain IT inventory and asset management records. Assist with procurement of parts and tools for the IT department.

Documentation and Reporting:

Prepare and maintain accurate documentation for IT procedures, inventory, and incident reports. Assist in the preparation of monthly reports on IT expenditures, inventory status, and service disruptions.

Additional Responsibilities:

Provide tier 1/entry level IT support to end-users as needed, including troubleshooting minor hardware and software issues and resetting passwords. Assist in the implementation of IT projects, such as system upgrades and migrations. Document procedures, guidelines, and best practices related to mobile device management, computer asset management, and invoice handling. Stay updated on emerging technologies and industry trends relevant to mobile device management.
