Legal Secretary

UFG is currently seeking a Legal Secretary focused on construction defect litigation to be responsible for performing legal secretarial/support duties for staff attorneys. The individual will have experience working with California attorneys, state regulations and proceedings.

Responsibilities: 

Complete secretarial duties – Construction Defect litigation:

Open new files including the drafting of correspondence, pleadings and discovery based on type of case. Process incoming mail/faxes/emails, calendar all appearances and deadlines in legal docketing program. Maintain the day-to-day ticklers in legal docketing program (updates dates as needed, mark deadlines complete). Draft correspondence; Draft pleadings and discovery (not paralegal level). Communicate with courts, opposing counsel offices, clients, experts, witnesses, and vendors (process servers, court reporters, vendors for court filings). Advise Adjusters of all mediation, mandatory settlement conference and trial dates. Attend weekly calendar meeting to resolve calendar conflict issues. Advise Adjusters and Clients of all demands and offers received. Monitor settled cases through closure. Generally, handle the volume of work for two attorneys. Deal with high workloads and multiple priorities. Perform all other duties as assigned.

 Qualifications:  

Education:

High school diploma 4-year degree preferred Employees are expected to participate in continuing education throughout their careers. 

Certifications/Designations:

Legal secretary certificate from an approved training program preferred. 

Experience:

5+ years working in the position of Legal Secretary in a civil defense practice.

Working Conditions:

General Office Environment Travel may be required on occasion – less than 5% Occasional physical activity that includes but is not limited to: standing, sitting, bending, lifting up to 30 lbs 

Knowledge, Skills & Abilities:

Must be proficient in the following software programs: Microsoft Word, Outlook.  Beginning to mid-level Excel. Must have complete command of legal concepts, including calendaring for civil discovery, civil trials, and civil appeals. Must be familiar with complex litigation rules and procedures. Must have command of Court Rules and Procedure. Dealing with high levels of work while managing personal stress. Must be detail oriented. Demonstrates ability to communicate with others and exercise good judgment when necessary. Strong oral and written communication skills. Time management, organizational skills, detail oriented. Able to establish priorities, work independently and meet deadlines with minimal supervision. Willingly promotes teamwork by offering assistance when needed and soliciting input from others. Readily demonstrates courtesy and respect for others. Has confidence in own ability to influence and create positive change.

The salary for this position generally ranges between $24.00 - $33.00 per hour. This range is an estimate, based on potential employee qualifications, operational needs and other considerations permitted by law. The range may vary above and below the stated amounts.
