Role Overview:

The Office Experience Coordinator (OEC) will act as the face of the New York Office and help elevate the office and employee experience for a fast-growing, global AI company. The OEC will focus on enhancing hospitality, improving daily operations, and executing office-based projects and events. This is a high-visibility role with the opportunity to take on ownership of aspects of the New York Headquarter Office and serve as a model for offices across the Americas.

 

Client & Visitor Experience

Greet and welcome guests, ensuring front-desk presence and professionalism

Prepare and maintain visitor materials (badges, welcome packets, branded gifts)

Serve as point of contact for day-of client experience, including refreshments and space prep

Coordinate with security and building management for guest access

 

Office Hospitality

Maintain daily office standards: cleanliness, supplies, working tech, presentation

Take lead on organizing snacks, beverages, catered meals, and kitchen supplies

Manage shipping, receiving, and mail logistics 

Coordinate minor maintenance issues and liaise with vendors (plants, catering, janitorial)

Maintain vendor list, contacts, and ensure WTC compliance (e.g., insurance requirements)

Events & Internal Culture

Assist with planning and executing NYO events (Family Day, team meetings, birthdays)

Maintain internal event calendar and track attendance, RSVPs, and feedback

Support coordination of team-building initiatives, theme days, and recognition moments

Help assess office software tools and physical layouts to enhance team productivity

Serve as local liaison for HR and IT needs (badge access, desk assignments, tech setup)

Begin taking on leadership in special office projects


Admin Team Collaboration & Documentation

Contribute to creation and maintenance of collaboratives office documents

Prepare office for and help onboard new staff to the NYO

Partner with other EA/Admins to ensure cohesive experience across functions

Participate in weekly admin sync meetings and provide office updates


Skills & Qualifications:

3+ years in office coordination, office management, hospitality, or customer-facing administrative roles

Excellent interpersonal and communication skills; warm, professional demeanor

Detail-oriented with strong time management and follow-through

Proficient with Microsoft Office, and project-tracking tools

Comfortable navigating ambiguity and proactively identifying improvements

Must be able to represent the company brand and culture confidently with clients, vendors, and senior staff

Experience in a high-rise or Class A office setting is a strong plus

In Office 5 days a week 8:30am-5:30pm​

Pay:

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs.  The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled.  At Fractal, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.  A reasonable estimate of the current range is up to $35/ per hour. In addition, for the current performance period, you may be eligible for a discretionary bonus.

As a full-time employee of the company or as an hourly employee working more than 30 hours per week, you will be eligible to participate in the health, dental, vision, life insurance, and disability plans in accordance with the plan documents, which may be amended from time to time.  You will be eligible for benefits on the first day of employment with the Company.  In addition, you are eligible to participate in the Company 401(k) Plan after 30 days of employment, in accordance with the applicable plan terms.   The Company provides for 11 paid holidays and 12 weeks of Parental Leave. We also follow a “free time” PTO policy, allowing you the flexibility to take time needed for either sick time or vacation.
