Faculty Rank or Job Title Program Coordinator, Academic Programs in Computer Sciences Job Category: Administrative (exempt/non-exempt) Department Computer Science EEO number: 23P134 Position FTE 100% Minimum Annual or Hourly Rate $38,000 Salary Band: UC S03 Job Summary/Basic Function: The Program Coordinator of Academic Programs in Computer Sciences supports the programs assessment and admissions by preparing portions of the self-assessment documents, managing the processing and maintenance of documentation related to the undergraduate and graduate programs, and admissions documentation, including direct support of and communication with students.
This role manages the department’s online forms and the Microsoft Teams exchange platform to help with data collection and analytics. Also, the position is responsible for the department’s marketing, social media, and promotional materials for internal and external use as well as the online presence by updating the departmental website. In addition, this position will participate in student outreach and recruitment as well as plan and organize meetings and events for the department. Supports the College’s mission by maintaining a standard of excellence for the unit, consistent with university policies, procedures, and best practices. Minimum Qualifications Bachelor’s degree in relevant field. 2 years related work experience with some experience in multimedia graphics design and/or event planning. Preferred Qualifications Essential Functions and percent of time: Admissions & Program Assessment Support – 30% Manage the receipt and process of undergraduate and graduate admission applications, petitions and degree certifications for graduation. Inform students of progress and end results of petitions, applications and degree certifications via letter, phone and/or email. Manage the receipt of departmental emails and voicemail and distribute to appropriate staff. Manage database logs for undergraduate admissions, undergraduate petitions, graduation statistics and undergraduate student files. Internally collaborate with University Center of International Education, Graduate School, Raider Connect and other colleges at Wright State to work on international student success. Identify and suggest processes for improving workflow for the department Prepares portions of program self-assessment documents for submission to national accrediting agencies. Collects and aggregates inputs from faculty and faculty committees. Monitors and reports student enrollment data for classes and laboratories.


Data Collection and Analytics – 25% Manage Microsoft Teams platform for the department; create content; ensure all available content is relevant and updated Configure and maintain online forms to collect data on student requests (e.g. regarding their prerequisites) using tools such as Microsoft Forms and Microsoft Power Automate; Coordinate and organize the transition of online forms to Microsoft Teams platform to support department goals Collect and analyze data from undergraduate and graduate programs using tools, such as Microsoft Power Automate, Microsoft Forms, Excel, Qualtrics, and Power BI
Program Marketing & Social Media – 20% Lead the planning and execution of marketing projects Work with the Office of Marketing, and recommend marketing strategies that are aligned with the Department’s strategic planning and goals Develop, design, and maintain marketing and promotional materials for print and web for both internal and external use. Ensure that all promotional content is correct and up-to-date including web pages, catalog entries Create, maintain, and update department website Monitor social media outlets and create planned and strategic content; Develop, curate, post, and monitor social media messaging in alignment with WSU social media guidelines
Event Management & Student Outreach – 20% Responsible for planning and organizing internal and external meetings and special events; for example, recruiting events, advisory board meetings, or programming contests. Anticipate both problems and opportunities during event planning, adjust if possible or make supervisor aware Collaborate with faculty, staff, and community to plan details of event Recruits students by participating in Wright State University open houses, visiting high schools, conducting tours, and contacting prospective students and parents. Acts on behalf of the department at recruitment functions. Collect potential student information and provide follow-up with potential students. Helps the Chair interact with alumni and local industry Serves as liaison with Career Services and potential employers to improve co-op/job opportunities for current students and graduates. Meet with prospective students for individual and group department tours. Attend undergraduate studies committee meetings.
Other duties as assigned – 5% Essential Functions and percent of time (cont'd): Non-Essential Functions and percent of time: Help to develop and implement department office procedures; coordinate the daily work flow of the office.

Serve as liaison between supervisor, other department staff, university personnel, and persons outside the university.

Maintain and monitor department budget; complete and process various financial forms; record expenditures; monitor spending; assist in identifying discrepancies and resolving problems.

Manage supervisor’s appointment and travel schedules; screen visitors and telephone calls for supervisor.

Schedule meetings; prepare agendas and coordinate arrangements for meeting times, locations, catering services, special equipment, and typed materials; may attend meetings and take and prepare meeting minutes.

Create, maintain, and update paper and computerized department files and records for reports, future projects and to aid in departmental decision making; compile data and assist in the preparation of various reports.

Assist supervisor with special projects/events; may coordinate and monitor personnel actions (e.g., recruitment, tenure, promotion, etc.); serves as liaison with individuals affected by the personnel actions and other relevant departments (e.g., Human Resources, Payroll, etc.); maintain personnel records and files; ensure personnel policies and procedures are followed.

Draft and revise written communications and documents on behalf of supervisor; review, initiate appropriate action, and respond to incoming communications.

May serve as information system advisor to supervisor and/or web site coordinator

May oversee the work of clerical/secretarial staff or student workers by training, assigning duties and providing information about changes in departmental and university policies and procedures. Working Conditions Normal Office Environment.
