The Day Services Administrative Assistant/Receptionist (AA) is responsible for handling and directing all calls and visitors to the program. In addition, the AA handles program Correspondence, Record-keeping, Precision Care-related items, Attendance, Petty Cash, Payroll and Filing, as directed by both the Program Coordinator and Assistant Program Coordinator.

 

Responsibilities:

Under the supervision of the Day Services Program Coordinator, the Day Services Administrative Assistant/Receptionist will: Receive and direct all telephone calls to the program. Take and relay messages as necessary. Answer routine inquiries and route technical inquiries to appropriate staff person. Welcome all visitors to the Day Services Program and ensure that they sign-in in the Visitors’ Log. Contact staff person that visitor is seeing. Fax, Email and Copies Establish, maintain and keep current program files. Enter Attendance each day. Check Precision Care each day to ensure all services have been entered. Assist with Petty Cash. Complete Payroll and maintain staff accruals. Maintain statistical records as directed by the Program Coordinator or Assistant Program Coordinator. Undertake typing and paperwork as assigned by Program Coordinator or Assistant Program Coordinator, including taking and writing minutes of meetings. Follow all agency, state and federal regulations to maintain program compliance. Complete all paperwork, data entry and filing on a timely basis. Ensure that program participants are clean and safe at all times. Immediately contact a program supervisor if a program participant is inappropriately left alone or unsupervised at any time. Maintain confidentiality of program participants at all times. Report all incidents, including allegations of abuse and neglect and serious reportable incidents, to program management immediately upon discovery. Assist in ensuring overall program orderliness and cleanliness. Report any hazards or unsafe conditions immediately to supervisor. Participate in in-service trainings and on-site workshops, as required, for professional growth and development. Attend external trainings and workshops at direction of direct supervisor or program management. Job Type: Full-time Experience: administrative assistant: 1 year (Required)
