Training Coordinator - HaBITTS | Full Time
DESCRIPTION: Provides superior quality resource management to training operations and administration. Oversees all activities related to master scheduling, coordinating of training activities included, but not limited to new hire training, implementation training, ongoing support, concierge activities, resource and facilities planning, and quality assurance processes. PRINCIPAL DUTIES AND RESPONSIBILITIES: + Schedule instructors, equipment and classroom resources by processing open/and private class requests + Set up laptops/equipment for various trainings throughout the system + Manage instructor’s schedule; keep updated, posted and appropriately communicated + Arranges meetings, conferences, schedules, appointments, interviews and completes travel arrangements and maintains supervisor's business calendar. + Reviews and screens visitors and telephone calls, ascertains callers' needs and tactfully refers callers to appropriate personnel. Responds to inquiries concerning general administrative activities and operations, and refers complex and/or sensitive inquiries to appropriate person(s). + Regularly engages in a variety of contacts inside and outside the organization in order to obtain or relay information, arrange meetings, gather data and so forth, often dealing with executives, medical staff, trustees or influential outsiders. In absence of, or as directed by supervisor, is often required to relay confidential or sensitive information. + Manage training room utilization by coordinating classroom schedules and requests for training room space + Monitor enrollment of all of CSRI’s classes on the HFHS University. + Add/Remove and Grade classes on the HFHS University + Process new course requests and add to HFHS University + Maintain the Master Training Schedule and manage training changes, deletions and additions + Maintain class customization folder + Oversee procurement for the CSRI department—this includes approval of PO’s for manuals, and supplies + Create/Assemble Tip sheets and training materials as needed + Research 3rd party courseware and computer software + Prepare end of week and month reports in a timely manner. EOM reports include: + Utilization of training resources + Classroom occupancy + Manual Inventory report + Respond to client requests in a timely friendly and flexible manner + Performs other duties as assigned EDUCATION/EXPERIENCE REQUIRED: + Requires high school diploma or GED, with some college or business school courses. + Associates degree in business or related field preferred. + Requires a minimum of three years of progressively more responsible administrative experience. + Must be proficient with computer software, i.e. Microsoft Office-Word, Excel, Power Point, and Access.
