University Advancement Event Coordinator

The Office of Advancement helps Belmont University achieve its mission by building a stronger community of support for the entire campus amongst all its constituencies.  In collaboration with university partners, Advancement is leading the effort to prepare for the most ambitious fundraising campaign in the university’s history.  Building on a track record of success, Belmont University is undergoing a period of growth and is actively increasing its institutional advancement capacity and capabilities so it can realize its full potential as a Christ-centered university in the thriving city of Nashville, TN.

The University Advancement Event Coordinator will support the team-lead in the creation, development and implementation of University Advancement events. They will both assist with and take on their own events as well as have responsibility for all of the back-of-house tasks such as budget and invoice management. They will be responsible for database related tasks, general administrative needs and student worker oversight. Occasional travel for short periods of time will be expected.

Primary position responsibilities include:

Support Senior University Event Coordinator with event execution. Work with assigned clients to coordinate event planning and execution by researching, problem solving, communicating through email and meetings, answering questions, seeking vendor bids, gathering cost estimates,  conducting pre-event walk-throughs and preparing event production documents for assigned events. Guide clients in preparation of events, explaining opportunities, constraints and university policies. Liaise between client and marketing/ communications for event print collateral and media needs.Execute all office management tasks both general and, largely, financial such as creating and managing budgets, interfacing with budget manager as needed, submitting invoices for payment and preparing final event settlements.Troubleshooting during the event preparation and during the event to ensure that all event setups are correct including making decisions about policy, procedures, billing, and staffing & serve as on-site coordinator during assigned event hours and will involve periodic travel.Ensure all client and event information is tracked in the Affiniquest database as per the department’s needs.
